Executive assistant (Geneva - Switzerland)
Reporting directly to the Leadership Team and working closely with the other Executive Assistants.
They serve as the primary point of contact for internal and external constituencies on all matters pertaining to the organizational structure in support of the Leadership Team.
MISSIONS AND RESPONSABILITIES:
Calendar Management:
Manage and optimize the schedules including arranging meetings, conferences, and travel arrangements
Meeting Coordination:
Prepare and organize materials for meetings, take minutes, and follow up on action items. Ensure timely communication of relevant information to stakeholders
Communication Management:
Act as a liaison between the LT and internal/external stakeholders, ensuring clear and effective communication
Travel Coordination:
Arrange international and domestic travel logistics
Prepare detailed itineraries and manage last-minute changes as needed
Document Preparation:
Draft, edit, and proofread correspondence, presentations, reports, and other documents
Event Planning:
Assist in the planning and coordination of internal events, workshops, and executive offsites
Expense Management:
Track and manage expenses, prepare expense reports, and ensure adherence to budget and company policies
Confidential Information Handling:
Handle sensitive information with a high level of discretion and maintain confidentiality at all times
Administrative Support:
Perform a variety of administrative tasks, such as managing databases, maintaining filing systems, and processing invoices
PROFILE:
Executive Assistant diploma or equivalent degree
Maximum 6 years of progressively responsible and diversified administrative experience, including support to Executive Team members
Fluent in English (mandatory); French and other languages are a plus
Strong writing skills with the ability to synthesize information
Excellent time-management skills
Proven ability to handle multiple tasks simultaneously
Strong attention to detail and organizational skills
Proficient in frequently used computer software, including Microsoft Office and PowerPoint
