Title: Executive Assistant
Location: Bangalore
Your Role
The role requires supporting GITC site leader & other directors for managing their administrative tasks and support other GITC site level initiatives.
What you’ll be doing
Admin:
Support smooth operation of office and supporting leaders in their business requirements including:
- Managing calendars, scheduling meetings and appointments
- Expenses management
- Travel planning and execution.
- Organizing meetings, agenda drafting and sharing minutes of the meeting
- Organizing townhall and equivalent forums pigeonhole support, manage presentations etc.
- Tracking actions from key meetings of leaders (like Townhall, leadership meetings & other group meetings)
- Managing visits & agenda for overseas visitors
- Vendor management e.g. Prestige, Courier agencies, Hotels, Stationers, Printers, other vendors required for the meetings/conferences etc.
- Knowledge management of site level initiatives
- Be additional approver & reviewer of administrative processes and spends
Employee Engagement:
- Support employee engagement events across GITC and build meaningful connection between individuals and teams
What you’ll bring
- Excellent communication in English
- Ability to communicate effectively with cross cultural teams
- Finance acumen- ability to track expenses, work with finance & create forecasts in excel
- Present and interact with senior stakeholders with confidence & ease
- Ability to analyse data in MS Excel & create simple MIS to leadership from time to time
- Ability to create impressive presentations in MS PowerPoint
Education and/or Experience:
- Bachelor’s degree
- Minimum 3 years of experience in assisting senior executive
- At least 2 years of experience in global organizations
