Admin Assistant to Medical Affairs Europe

Are you looking for a fast-paced administrative role within a busy global environment? If so, this role could be an exciting opportunity to explore.

As an Administrative Assistant, you will provide administrative support to Senior Leaders based in Belgium and Switzerland within Medical Affairs Europe (Northern and Western Europe and Central and Southern Europe area).

Your Responsibilities?

  • Full schedule management: calendars, organization of international meetings, travel arrangements
  • Escalate necessary queries as appropriate
  • Contract management of medical activities and processing of grant requests (this includes having contact with external customers)
  • Operational Support of Accounting (creation of purchase orders, processing orders and invoices)
  • Support in knowledge of our systems (CERPS, eForms, GLASSES, Adobe sign,)
  • Project support in implementation of new systems and tools: VeevaLink, VEM, Medical Affairs external webpage
  • Performs and supports Management Monitoring, IBM and audits concerning Medical Department
  • Organization of Team Events
  • Planning onboarding of Medical Department staff
  • Administrative tasks (overview of folder structure in TEAMS and other share points, medical internal webpage)

  • You have a Bachelor’s Degree or equivalent experience
  • You are fluent in English (spoken and written). Any other language is an asset.
  • You have a demonstrable experience in providing secretarial support to senior leadership (CEOs, CBO’s etc and their Admins) in a busy, international and global environment.
  • You are an expert user of MS-Office: Microsoft Outlook, PowerPoint, Word and Excel, use of inter- and intranet.
  • You have excellent organizational skills with high attention to detail, including ability to handle complex travel arrangements and organize cross-site events.
  • You are discreet and you resist to pressure.
