The Role
The EF World Journeys Operations team is currently looking for ambitious, driven, and enthusiastic candidates for the positions of Transportation Coordinator based in our office in Rome.
As a Transportation Coordinator, you work within the Transportation Team and are responsible for all day-to-day operations related to airport transfers in Italy (Go Ahead Tours focused). You will be working closely with the Transportation Specialist, who is responsible for negotiating contracts, managing relationship with suppliers and managing budgets. You are also the first point of contact for our Tour Directors (guides) with any related questions to airport transfers and during emergency situations.
Core responsibilities
- Market Knowledge & Trends: Further foster your existing market knowledge and expertise through constant networking and research, competition awareness, and industry insights.
- Supplier relationship management: Maintain a positive and constructive relationship with existing and potential suppliers in the assigned market, in keeping with cross-product sourcing strategy. Provide all documentation to suppliers related to the upcoming bookings and train them on our systems to ensure smooth processes.
- Tour Director Relationships: Work closely with our EF Tour Directors to answer pending questions around transportation services related to their upcoming tours and whilst on tour.
- Emergency Response: Help problem solving around emergency cases on tour related to transportation services. Work closely with our Safety and Incident Response team to ensure effective case management.
- Invoice Management: Act as the main point of contact with our Accounts Payable team for invoice payments to suppliers. Working closely with the team to ensure our supplier relationships are maintained and suppliers are paid on time.
- Administrative: Ensure all systems and supplier updates are managed in due time and that all safety and cost guidelines are adhered to.
- Customer Experience: Work to balance cost and quality and achieve cross-product requirements.
- Technology: contribute to the development of technology solutions and the continuous improvement of current tools and processes.
- Team cooperation: Working closely with the Transportation Specialist (responsible for negotiating contracts, managing relationship with suppliers and managing budgets) of the assigned market and with the broader Transportation Team.
Requirements
- Bachelor’s degree or equivalent, preferably in business, economics, or tourism
- Fluency in English and Italian required, and a combination of French, German, Spanish and any other languages advantageous
- Similar work experience is a plus
- Strategic mindset whilst actively engaged to run day-to-day priorities
- Experience in the travel, tourism, educational travel, or online travel agency industry along with a strong interest and network in these fields is preferred
- Agile and open-minded team player
- Flexible, quick learner and a proven problem solver
- Comfortable in a fast-paced, dynamic environment
- Strong communication, negotiation skills and cultural awareness
- Strong organizational skills and attention to detail
- Able to analyze and question processes and strives to come up with creative ways of improving them. Think outside the box!
