The Role
As an Executive assistant your mission will be to support the Head of SI B SW and his Team as part of a growing business with exciting challenges and opportunities for development within a collaborative and inclusive environment in the heart of Zug
Your new responsibilities
Assistance to the Head of SI B SW + Team Support in:
- All administrative and organizational matters
- Support in day-to-day operations e.g. calendar, business trip planning and expense management, etc. with a good sense of prioritization
- Independent preparation of workshops and client meetings including pre- and post-processing
- Correspondence in English and in German with internal and external partners
- Processing of internal and external orders and responsibility for invoice approval
- Set up interviews with internal and external candidates
- Organizing events and workshops, like Building X Day and other team events incl. catering
- Support for team members on travel and organizational related questions
- Prepare travel expense reports, control the expense reports of direct reports
- Time management in WebCats
- Serve as the single point of contact for team events and meetings
- Support and, at times, manage small to medium projects based on organizational needs and professional development interests
- Act as a liaison, communicating effectively with internal and external stakeholders at all levels
- Support for team member onboarding and off-boarding
- Handle sensitive documents with the utmost confidentiality and discretion
- Coordinate and manage special projects and initiatives as assigned
- Assist in the preparation and follow-up of meetings, including tracking action items
- Dealing with authorities Embassies, Immigration office, Tax Office, Customs Declaration, etc
Your talents and experience
- Several years of experience as an Executive Assistant or similar role in an international organization
- Have extensive experience supporting C-Level management team and are proficient in international communication
- Have a secure handling of MS Office products
- Proactive and forward-thinking way of working, including the ability to keep an overview of tasks and to recognize and prioritize them
- At ease in a fast-paced, dynamic environment and loves to work in a multi-cultural and international environment
- Confident and communicative appearance on an executive level, as well as a reliable and confidential way of working round off your profile
- Proficient in English and in German (speaking and writing)
