Purpose of Role:
Provide high quality operational management of all soft services including, but not limited to, Security, Cleaning, Reception, Hospitality & Catering, Document Solutions/Mailroom, Switchboard, Plants & Landscaping, Wellness and other specialist third party sub-contractors at Riverbank House, ensuring a sustainable, efficient, proactive and high-quality service.
You will work collaboratively as part of a multi-disciplinary CRES team and lead, motivate and develop the multi-disciplinary team in the delivery of outstanding customer service to Man Group staff and wider tenants at Riverbank House. In this role you will act as the key point of contact for all tenants in Riverbank House.
You will ensure that Man Group is compliant with all regulatory requirements and follows best practice in all its activities.
Responsibilities:
Management of all Soft Services
- Operational management of 3rd party contractors including but not limited to Reception and Helpdesk, Cleaning (incl. pest control), Security (Guarding & Systems), Catering & Hospitality, Document Solutions/Mailroom, Switchboard, Plants and Landscaping, Landscaping and plant care, Switchboard, Wellness Partners etc.
- Conduct quarterly supplier performance management reviews with all service partners to ensure Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) are met.
Tenant Liaison
- Act as key contact for all Tenants, ensuring requirements/issues are addressed in a professional and timely manner
- Oversight of all events at Riverbank House and co-ordination between relevant teams where necessary including Man Group (both landlord and tenant), tenant and 3rd party events (particularly relating, but not limited to, projects, events, etc.)
Projects
- Project management of facilities services related projects, ensuring all projects are implemented and delivered on schedule and within budget
Financial and Contract Management
- Setting and managing the Facilities Services and Service Charge budgets
- Manage spend within approved budgets for relevant 3rd party contracts
- Support with commercial tenders, retendering and benchmarking exercises for all soft service contracts
Health & Safety, Business Continuity
- Working closely with the Head of Global H&S, to implement policies and procedures to meet legislative, statutory.
- Assist with Business Continuity and Disaster Recovery planning and operations as required and working closely with BORR
Skills / Qualifications:
- Minimum 5 years experience in similar role managing Facilities Services in a multi-tenanted building
- Analytical approach to problem solving required
- Ability to multitask and be calm under pressure
- Proven experience in a similar support function ideally with exposure to both hard and soft facilities services
- Good understanding and awareness of Health & Safety and holding a relevant qualification preferable e.g., IOSH certified/DSE certification (training can be provided)
- Encourage collaboration and team working
- Excellent written and verbal communication skills
- PC literate proficiency in MS Outlook with mid to excellent level MS Excel and PowerPoint skills
- Personable and able to develop relationships at all levels in the organisation with particular emphasis on customer service excellence
- Relevant experience with Corporate Services or Client facing experience (preferred)
