Job Title: Administrative Assistant
Job Type: Part-Time (50%)
Job Overview:
We are seeking a detail-oriented and proactive Administrative Assistant to support the administrative, operational, and logistical functions of our school. The ideal candidate will have strong organisational skills, the ability to manage multiple tasks, and excellent communication skills in both English (full professional proficiency) and German. This part-time position offers a fantastic opportunity to gain experience in a dynamic and supportive international school environment.
Key Responsibilities:
- General Administration:
- Handle day-to-day administrative tasks, including answering phones and managing email communications.
- Maintain and update student and employee records within the school’s databases.
- Schedule and coordinate meetings and school-related activities.
- Manage and maintain filing systems, ensuring all documentation is up to date and easily accessible.
- Order and manage school supplies and inventory.
- Manage and update the school calendar to reflect key dates, events, exams, and meetings.
- Provide basic IT support, such as creating logins for students and staff.
- Financial and HR Support:
- Process and issue invoices, ensuring accurate records within the finance system.
- Assist with recruitment processes by posting job adverts and communicating with applicants.
- Scheduling and Exam Support:
- Help with creating and managing school timetables and general scheduling requirements.
- Help with proctoring exams and ensuring exam protocols are followed.
Qualifications and Skills:
- Languages: Full professional proficiency in English and German is essential.
- Organisational Skills: Excellent attention to detail, ability to prioritise tasks, meet deadlines, and manage competing demands efficiently.
- Communication: Strong verbal and written communication skills, with a polite and professional demeanour.
- Technical Skills: Proficiency in MS Office (Word, Excel, Outlook) and experience working with CRM systems (e.g. Bexio).
- Problem-Solving: Ability to troubleshoot and resolve day-to-day issues effectively.
- Interpersonal Skills: Positive, flexible, and collaborative approach to working within a team environment.
Education and Experience:
- Bachelor’s degree or equivalent qualification preferred.
- 1-2 years of experience in administrative roles or a similar environment.
- Experience within a school setting is a plus but not essential.
