Lombard Odier Investment Managers (“LOIM”) is the asset management business of the Lombard Odier Group. In order to strengthen our Corporate Secretariat team in Luxembourg, we are looking for a:

About the role
You will be joining a dynamic team of three individuals who collaborate extensively with the wider LOIM business.
How will you make an impact at LOIM
In this role, your main responsibilities will include the following
- In close collaboration with the team, be responsible for the lifecycle of a number of Board and Committees, including preparing meeting materials, attending and minuting meetings, prepare follow ups and ensure follow ups are closed prior to next meeting.
- Ensuring that the LOIM corporate agenda (approximately 200 meetings/year) is set on an annual basis and all meetings are convened accordingly.
- Provide guidance and direction on corporate governance with the support of the Head of Corporate Secretariat, Legal and Compliance teams resulting in the creation of processes and policies.
- In close collaboration with the Head of Corporate Secretariat, ensure all departmental systems are maintained, including accesses of our Board management platform (Boardvantage) for annual renewal of contracts.
- Assist the Head of Corporate Secretariat in maintaining LOIM’s Governance framework, keeping abreast of regulatory changes that may impact the framework and providing guidance to boards on any required changes.
- Maintain bi-annual updates of terms of reference, organisation charts and other governance documents.
- Conduct bi-annual evaluations of Board and committees members.
- Liaise across Legal, Compliance, Sales (RFPs), HR, Finance, Risk, IT and Operations firm-wide to collect information, provide up to date information the LOIM Group and fulfil day to day functions.
Your profile
- Experience in working in an international, multicultural environment preferably in the financial services industry
- Experience attending meetings and taking timely, effective and accurate minutes.
- Experience with electronic Document Management systems and Board portals is an advantage;
- Excellent time management and prioritizing skills required to address a large number of requests within set
- Well organized with the ability to multi-task
- High level of initiative and commitment with a “hands-on” approach to get things done and solve issues
- Conscientious, detail-orientated and disciplined individual
- Strong verbal and written communication skills
- Excellent interpersonal skills
- Discretion and confidentiality
- Excellent knowledge of English, both written and verbal, any other language is a strong asset.
- Advanced knowledge of Microsoft Office (Excel, Powerpoint, Word) and Outlook
