Our client, a global leader in advanced instrumentation and sensor technologies, specializes in Smart Manufacturing and Industry 4.0 solutions. We assist our client in filling a mission-critical role. A hybrid working model is in place with a regular office presence. This role is ideal for a competent, agile Executive Assistant (EA) with a positive attitude who thrives in an entrepreneurial, results-oriented environment.
About the Role
Join our client in a pivotal role to support the company's inspiring C-suite leaders. This position is not just about administration; it's about being the organizational backbone that empowers the executives to focus on driving strategic initiatives and advancing innovation within the company. Your professionalism, discretion, and adaptability will be crucial. You will manage the intricate daily operations of a dynamic executive office, allowing the executives to engage with their diverse business engagements. Your organizational skills and sound judgment will be essential as you navigate interpersonal interactions and oversee complex tasks. You will instill order, prioritize effectively amidst distractions, and autonomously manage multifaceted responsibilities. Your contributions will enable the executives to concentrate on what matters most.
Key responsibilities will include but are not limited to
- Managing an active calendar, ensuring that all appointments are scheduled by following the business's priorities, playing a «gatekeeper» role, and creating win-win situations for direct access to the executives' time and office, ensuring all deadlines are met. Plan business travels, including visas, accommodations, and logistics.
- Prepare documentation for key internal and external meetings and liaise with direct reports and senior stakeholders. Follow up on action items to ensure the executives are adequately prepared.
- Draft high-quality emails and manage correspondence and calls, ensuring that communications and requests are prioritized for optimal use of time.
- Prepare presentations and compile reports. Manage filing and tracking of expense reports as needed.
- Organize events, workshops, off-site and global management conferences. Execute admin tasks efficiently and develop seamless processes for effective business execution.
- Assist in coordinating and tracking key projects across the executive team; conduct research and provide data analysis for decision-making.
- Foster a collaborative and engaged culture while ensuring an efficient working environment and building strong networks with other assistants.

Ideal Candidate Profile
- A commercial apprenticeship, bachelor's degree in business administration, or a Federal Diploma as an Executive Assistant or CAS in Digital Office Management.
- Significant experience in a C-level assistant role. Experience in a complex matrix organization and confidence in working with senior executives is essential.
- Business fluency in both German and English. Any other European language is considered a plus.
- Technologically adept, proficient in the MS Office Suite and collaboration tools such as Zoom and Teams.
- Willingness to travel for site inspections and events as required.
