Position Overview:
We are seeking highly organized and proactive Administrative Assistants to join our dynamic, young company. The ideal candidate will have exceptional multitasking skills, attention to detail, and the ability to adapt quickly in a fast-paced environment. He/she will play a crucial role in supporting our team by managing schedules, coordinating meetings, handling communications, and assisting with various administrative tasks. Tasks:
As an Administrative Assistant, you will be responsible for a variety of tasks essential to the smooth running of our day-to-day operations. Your main tasks will include:
- Bring and maintain goodness in the office management by being a key coordinator to foster our bright environment.
- Assist in HR related tasks: employee life cycle, team building, well-being and all that you can bring.
- Organize and maintain administrative files and documents (human resources, insurance, office contracts, etc.).
- Perform administrative tasks: organize business trips, arrange appointments, support team activities, process expense reports, arrange shipments etc.
- Assist in the preparation of reports and presentations.
- Welcoming visitors and ensuring quality customer service.
- Collaborate with various teams to improve administrative processes.
Requirements:
- Experience in team/office management and other admin and people services for at least few years in Switzerland. Good knowledge of Swiss labour law is a plus.
- Execellent communication skills (oral and written) with fluent English (required), French, and Italian (desirable).
- Proficiency in office automation tools (Word, Excel, PowerPoint) and ERP systems (like Odoo)
- Organizational skills, rigor and autonomy.
- Ability to work in a team and manage several tasks simultaneously.
- Flexibility and ability to act as a caring TEAM MEMBER that is willing to support us in whatever challenges we are brought to.
