MCI Benelux SA is looking for an enthusiastic Senior Project Manager.
As our new Project Manager, you will be designing, planning, developing, and delivering events.
Your mission
Leadership & Relationship Management
- Regular and frequent communication with clients to monitor client satisfaction
- Planning of operational roles within their event/project teams
- Maintaining good internal communication within the event / project teams
- Maintaining enthusiasm and professional standards within their event / project teams
- When appropriate, proposing the full range of MCI services to current and potential clients
Project Management
- Implement and organise each project/event, from A to Z (design, plan, organise, deliver, measure results and impact) in line with the goals and objectives of the client
- Manage professional/technical and support staff on both a professional and administrative basis
- Day to Day project management with a properly usage of all MCI operational tools and SOP
- Building, maintaining and continual development of relationships with suppliers, negotiating best prices and deals, setting up credit agreements, raising purchase orders, negotiating rate with hotels/venues
- Regular reporting on project operational progress to the client
- Responsible for the logistics part (retro planning, timeline, operational planning, quality, budget, resources)
- Participating in event debriefings, gather client feedback and reporting on budget after closure of the event
- Work hand in hand with the PCO team and with the marketing team and report directly to the BU director
Communication
- Co-articulate and participate to the revision of all communication linked to the event with the client (i.e.: speaker briefing, script development, e-blasts, website content, etc.)
- Co-creation of event websites according to the given instructions (i.e.: content, speaker, registration) with the Customer Care Department
Admin, IT & Tools
- Demonstrate effective set-up and usage of available event management software (e.g.: Aventri, Cvent, EventsAir, TEAMS, Slido, etc.), virtual event platforms (such as MeetYoo, Swapcard, SpotMe), web conference tools (such as WebEx, Zoom, Interactio, Kudo)
- Respect of the GDPR regulations related to events and all connected activities
- Keep up to date with technological trends and devices to incorporate technology into projects
Finance Management
- Capability to build and manage event budgets (cash flow, payment terms, cancellation, added value and savings)
- Ensure the profitability of the events and projects organised by managing and verifying all incomes and expenditures
- Operate proper financial reconciliations reconciliation of all projects handled
- Adherence to existing SoPs and financial guidelines
Your profile
- Eligible to work in the EU
- A minimum of 5 years experience in the meetings industry demonstrating consistent progression in roles and responsibilities
- Experience in planning, developing and delivering events in the private sector in an international environment
- A proven track record of managing and motivating teams and delivering small- and large scale projects in a service environment
- Fluent in English (verbal and written level C1); any additional European language is a plus
- Proficient in the Microsoft Office package (Word, Excel, PPT, Teams)
- Experience with management and operating of budgets / financial control
- Assertive, proactive, client-centric but also flexible, agile and committed especially in busy periods
- Excellent inter-personal skills with an ability to motivate and coach people
- Leadership skills and problem-solving minded
- Time management skills as part of your DNA,
- Quick learner and easily adapt to a fast-paced environments,
- Able to travel all around the world
- Available to join the team rapidly
