Do you like working in a company with an international flair and a vibrant working environment? As a leading global law firm, we want to further strengthen our team and are looking for a motivated legal assistant (m/f/d) with organizational talent and experience in a similar profession at our Zurich office as of 1 August or by arrangement. In this role, you will actively support a team of lawyers in their day-to-day business, be part of a pool of assistants and be in constant contact with all our colleagues around the globe.

Your tasks:

  • Mandate opening, time and cost recording (Intapp); invoicing and dunning (SAP)
  • Preparation of expense reports, draft bills, revision of bills per Billing Partner instruction, issuance of bills and retainer invoices
  • Deadline management and monitoring
  • Organization of meetings, presentations, seminars and business trips
  • Processing/completion and dispatch of correspondence in English
  • Processing incoming and outgoing mail (including e-mails)
  • Contact with clients, authorities and other internal and external contacts in English
  • Electronic data management, filing and regular archiving of documents
  • Creating, revising and proofreading PowerPoint presentations, Word documents and Excel spreadsheets
  • Managing contacts and master data maintenance
  • Coordination and support for clients before, during and after conferences, webinars and workshops
  • Preparation and administrative support for publications
  • Supporting colleagues (in the assistant pool); deputizing in the absence of other assistants

 

What you bring with you:

  • Sound basic commercial training or high school diploma
  • Professional experience in a comparable position
  • Excellent computer skills (especially MS Office products and SAP)
  • Fluent in English and preferably knowledge of German
  • Independent, well-organized and careful way of working
  • Impeccable time management skills; able to set priorities
  • Detail oriented and thorough/precise
  • Quick comprehension, customer service mindset
  • Team spirit
  • Willingness to work in fast-paced environment and handle non-routine work
  • Enjoy working in a global, dynamic environment
