Our client is an internationally successful, FINMA regulated investment management firm based in the heart of Zug and an office in London. Working as part of an admin team of three to provide outstanding administrative support to the close-knit team of investment professionals we are searching for a highly organised, flexible
This role is multi-faceted and will also include assisting with a variety of routine and ad hoc duties. Your broad variety of main tasks include:
- Provide close administrative support to the partners and wider team members (e.g. appointment scheduling, calendar management, travel arrangements, expense report filings, etc.)
- Receive and welcome visitors (mainly institutional investors from the USA)
- Write minutes of board meetings and provide organizational support for them
- Responsible for bank payments to settle vendor invoices and filing thereof
- Assist the team where necessary with daily routine tasks and ad hoc project-based work (e.g. support document collections and filings on behalf of Compliance Officer)
- Assume responsibility for the efficient management of the office and its facilities
- Respond to incoming calls
The position requires:
- Several years relevant experience, preferably in the financial services industry or legal firms
- Excellent communication skills, both verbal and written, as well as strong interpersonal skills
- Ability to think and act proactively within a small team
- Strong sense of initiative and attention to detail, resourcefulness and tact
- Proficiency in English, additional languages such as German are an asset
- Advanced Microsoft application skills, particularly in Outlook, Excel, Word and PowerPoint
- Strong work ethic and desire to work in an entrepreneurial, international environment
It is essential that you possess a valid work permit for Switzerland and are already living in the Zug area as your presence on-site is required five days a week.
