We are looking for a Facilities Coordinator for our Integrated Facilities Management business line. The role is a meternily leave cover for 10 months with a possibility to extend the contract.
Your tasks:

Manage supplier contracts and coordinate service partners on site

Monitor and supervise Planned Preventive Maintenance tasks
-
Oversee Corrigo ticket management and completion
-
Manage reception duties, including visitor management and badge administration
-
Handle parking requests and mail processes
-
Manage office supplies and stationery ordering
-
Improve organization of facilities spaces and office areas
-
Serve as primary point of contact for landlord representative
-
Review Risk Assessments and Method Statements (RAMS) for contractor works
-
Conduct contractor inductions and manage HSSE compliance
-
Perform regular building audits and quality audits for site services
-
Conduct building tours for new employees
-
Assist with local event planning and execution
-
Manage quotations for facilities-related purchases
-
Coordinate with vendors for event supplies and services
-
Support event budgeting and expense tracking
-
Assist in budget tracking for various facilities management activities
-
Support financial processes related to invoicing and purchase orders
-
Contribute to budget management and financial analysis for the facilities team
Your profile:
-
Experience in facilities management or related field
-
Excellent communication and interpersonal skills to interact with diverse stakeholders (employees, visitors, vendors, and landlord)

Knowledge of Health, Safety, Security, and Environment (HSSE) compliance and Risk Assessment and Method Statements (RAMS)
-
Strong proficiency in facilities management software (e.g., Corrigo) and Microsoft Office suite

Demonstrated experience with continuous improvement initiatives in office space and facilities management

Proven experience in vendor management and coordination of service partners
-
Ability to understand and interpret supplier contracts and lease agreements
-
Experience in budget tracking and basic financial processes related to facilities management
-
Strong organizational skills and attention to detail for auditing and quality control

Fluent in English and French
