Context & mission
Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter).
The MSF movement is built around 5 operational centers supported by 24 sections and offices worldwide. MSF Operational Center Geneva (MSF OCG) is one of these centers.
MSF has grown significantly in the last decade, but the HR department has managed this expansion with ad-hoc tools. To better support ongoing demands and the global workforce, OCG has launched an HR transformation initiative which includes the implementation of an HR Information System (HRIS).
Given the increased operational demand and complexity, MSF OCG needs improved systems to better manage people and data. The program will span several years, with incremental rollouts to different populations within the field and the HQ, covering various modules across the employee lifecycle. Currently preparing for the project kick off, a Project Management Officer is required to support the HRIS Program Manager through the preparation and design phase of this system implementation.
We are seeking a Project Management Officer to coordinate different aspects of the project, such as project planning, monitoring, status updates, risks and issues.
This person will work closely with the HRIS Program Manager to ensure the program plan is followed, that resources are managed, and that weekly progress is made and updated in official project documentation.
Tasks & Responsibilities
Provide project support to HRIS Program Manager

Follow up with team members on progress of program plan

Manage documentation versioning in SharePoint

Updating internal project management tool Asana
-
Organizing meetings, room bookings and invitations

Keep program member lists up to date
-
Documenting minutes, actions, decisions, risks and issues

Follow program budget and monthly update on resources, costs and expenses
Input into key programme activities

Preparation and coordination of Steering committees and other key meetings such as design workshops

Follow up on with owners on progress of programme deliverables from design documentation, to test strategy and training guides (for example)
Play a central coordination role

Regular follow up with IT, Process and Change leads to manage deadlines, risks and actions

Be a central ‘go to’ person in the program team

Provide official communications for coordination purposes to program team
Apply best practices in project management

Introduce templates to help control and organize scope of works

Be creative in proposing improvements to project methodology
Your profile
Education
-
Bachelor’s degree in a related field
-
Project management certification desirable
Experience
-
3-5 years’ experience in project management
Languages
-
English and French are the working languages of MSF Switzerland. Fluency in both English and French is required for this position (oral and written).

Terms of employment

Full-time position 100% (40h/week)

Fixed-term contract, 13 months

Gross annual salary (for 100%): from CHF 87’372.- to CHF 100’608.- (salary commensurate with equivalent experience and internal salary grid).

Paid vacation: 25 days per year, prorate temporis, plus any Swiss public holidays falling within the contract period.

Pension plan: pension contribution covered 3/4 by MSF, 1/4 by staff member.

Relocation package if moving from a different country to Switzerland.
