We are looking for a Personal Assistant to join our headquarters in Baar. In this role, you will provide dedicated support to one of our Senior Executives while also assisting multiple members of the Sustainability team.

The main tasks and responsibilities
Administrative Support:
- Manage and coordinate daily schedules, appointments, and meetings for the team.
- Prepare and distribute meeting agendas, minutes, and follow-up action items when necessary.
- Handle confidential information with discretion.
- Handle invoice payments and counterparty onboarding in accordance with relevant procedures.
Travel Coordination:
- Arrange international and domestic travel, including flights, accommodations, and transportation.
- Prepare detailed travel itineraries and ensure all travel documents are in order.
- Assist with visa applications and other travel-related requirements.
Meeting and Event Planning:
- Organize and coordinate team meetings, conferences, and events.
- Set up virtual meetings using platforms like Microsoft Teams, Zoom, etc.
- Ensure meeting rooms are booked and equipped with necessary technology.
Document Management:
- Create, format, and edit documents, presentations, and reports using MS Office Suite (Word, Excel, PowerPoint).
- Maintain and update electronic and physical filing systems.
- Assist in the preparation of reports and presentations for internal and external stakeholders.
Communication:
- Act as a point of contact for internal and external communications.
- Support effective communication within the team and with other departments.
Project Assistance:
- Support team members with project-related tasks and research.
- Track project timelines and deliverables.
- Assist in the preparation of project documentation and presentations.

Minimum requirements
- Previous experience as a Team Assistant or in a similar administrative role.
- Experience in a global company or supporting a global team is a plus.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in English and German.
- Holding a Swiss work permit or passport holder of CH / EU.
