We are seeking a dynamic and forward-thinking individual to join our client’s team as a Personal Assistant. The ideal candidate is passionate and ready to hit the ground running. We prioritize attitude above all else and prefer candidates with experience in an international environment, ideally within a Family Office or mid-sized company. While we hope to find the right person soon, we are willing to accommodate a notice period of up to three months.

Your Tasks & Responsibilities
- Act as the liaison between the executive and internal/external stakeholders, ensuring smooth office operations and daily business activities.
- Oversee daily operations, manage a busy calendar, and organize global travel, dinners, and events.
- Handle last-minute changes and coordinate itineraries, accommodations, visas, and ground transportation.
- Facilitate meetings, follow up on action items, and manage documentation.
- Professionally manage emails, calls, and correspondence.
- Prepare and review communications, presentations, and reports.
- Plan and organize events, the executive’s projects, and strategic initiatives.
- Build and maintain strong relationships to ensure seamless communication and collaboration.
- Oversee expenses, process invoices, and handle general administration.
- Assist with special tasks and undertake additional duties as required.
What You Bring to the Role
- A commercial degree, or a B.A. in Business Administration, or a qualification as management assistant (Direktionsassistenz), along with at least 10 years of experience as an Executive Assistant (preferably in a UHNWI, family office, entrepreneurial environment).
- A highly organized work style with the ability to work independently and with minimal supervision.
- A self-starter mindset, strong common sense and a proactive approach.
- Exceptional planning skills and the ability to prioritize effectively under tight deadlines.
- Confidence, a personable nature and a good sense of humor.
- The highest level of discretion and the ability to handle confidential matters with care and sensitivity.
- Strong interpersonal skills; able to build effective relationships.
- Articulate and self-assured communication skills, with fluency in both German and English and advanced in additional European languages (Spanish, Italian, French), as the executive maintains close connections across major cities in Europe.
