LINE MANAGER: Legal Operations Coordinator
The Legal Operations Assistant will work in the MSC Cruises’ Corporate Legal Department located in Geneva (on site) and will support the Legal Operations Coordinator and the rest of the legal team in managing administrative tasks, optimizing processes and contributing to strategic projects. The ideal candidate is detail-oriented, highly organized, and capable of handling sensitive information with discretion.
Administrative Support:
• Take care of the contract approval and signature process, including liaising with the internal stakeholders and maintaining the database of the department up to date;
• Prepare and edit legal documents, correspondence, and presentations.
Budget and Expenses Management:
• Support in monitoring budgets, invoices, and billing from external vendors and subsidiaries;
• Creating Purchase Orders for the expenses of the Department.
Technology and Tools:
• Support in the day-to-day management of the legal technology tools, such as contract management system and e-billing platform.
Compliance and Reporting:
• Support in audits, policy updates, and regulatory filings;
• Contribute to cross-departmental collaboration (mainly Treasury and Finance Departments) as required and following internal procedures.
• Graduated with a Swiss Maturity Diploma or equivalent (Bachelor degree in Business Administration or similar is a plus);
• Prior experience in a legal operations or administrative role, preferably in an international corporate environment is a plus;
• Fluent in English, knowledge of Italian / French is an advantage;
• Strong computer skills (good command of Word, Excel, Adobe Pro and PowerPoint);
• Basic knowledge of Navision, SAP and ServiceNow is a plus;
• Excellent organizational skills and attention to detail;
• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment;
• High level of professionalism, discretion, and integrity when handling confidential information;
• Collaborative mindset and ability to work effectively with cross-functional teams.
