Our location in the heart of the city of Zurich has around 130 employees in the areas of development, quality and production of the CentriMag system and the HeartMate 3.
We are seeking an experienced Management & Office Assistant to join our team.
Primary Job Function:
-
General office management /including internal and external correspondence, archiving, mailings, acting as communication interface, administration of travel management.

Manage Reception Desk – first point of contact on site.
Core Job Responsibilities:
-
Support of the Management Heart failure Abbott Zurich site in all organizational and administrative functions.
-
Organization and management of site agenda.
-
Organization and coordination of internal / external meetings / all kind of events from A-Z (contracts, budget, venue, program…).

General office management: internal and external correspondence in German and English, archiving, mailings and responsible for Facility Orders (break rooms and office supplies).

General office administration: coordination of business schedule, travel management and expenses, travel bookings.

Act as communication interface for site manager (Prepare general internal communications with reminders for e.g. Birthdays, Milestones etc. and actively remind.

Site ctc for Facility management with the Technopark.

Super User / administration rights for time management system RTM / Training of new employees / Issue resolution.

Responsible for parking cards, access and organization incl. tracking and billing of employees.

Responsible for Badge orders, management of visitor badges and tracking.

Support in scheduling interviews (in cooperation of TA) and first point of contact for interview candidates, booking of meeting rooms etc.

Booking of invoices / venders and follow up of payments.

Supports in budget control matters (monthly reports an USA).
Minimum Education:
-
Commercial education (KV) is required or equivalent experience. Professional development as an Assistant “Direktionsassistenz mit eidg. FA” or similar.
Minimum Experience/Training Required
-
Minimum 3-year previous experience in similar role in a global organization

Excellent written and verbal command of German and English is essential
-
Professional development as an Assistant and experience gained through a previous and comparable position

Full command of modern IT skills is a must (MS Office)
