For one of our renowned clients in the pharmaceutical and life sciences industry, we are looking for a dedicated and qualified Project Administrative Assistant (NEXUS Team)(m/w/d) in Basel with an opportunity to work remotely. - Schedule meetings and coordinate project activities, including preparing agendas, taking minutes, and distributing them
- Manage calendars for project managers and team members.Organize and maintain project documents and files.Assist with budgeting and tracking project expenses
- Arrange and coordinate events, workshops, and meetings, both internal and external, local and international
- Handle travel arrangements, including itineraries and logistics for on- and off-site meetings.Act as a liaison between project team members, clients, and stakeholders. Facilitate communication across departments and ensure project updates are shared
- Manage inquiries and correspondence related to the project.Track project progress and ensure documentation is accurate and up to date.Compile data for status reports and presentations for stakeholders
- Assist in the preparation and updating of project plans, reports, and presentations.Process and track expense reports and invoices, ensuring compliance with company policies.Manage requisitions, purchase orders, invoices, and other financial documents
Requirements
- Minimum of 3 years of experience in an administrative role, junior profiles welcome.
- Fluent in English and German.Strong communication, organizational, and analytical skills
- Ability to work independently while maintaining accuracy and efficiency
- Capability to handle multiple tasks simultaneously without compromising quality
- Advanced proficiency in MS Office Suite (Outlook, Word, PowerPoint, Excel)
- Familiarity with office management software such as SAP, SharePoint, and MS Teams
