Scope and summary of the role
The Gasoil Operator will
-
execute the day-to-day operations for deals generated by the trading team.
-
adhere to terms stipulated by the traders to ensure accurate and efficient execution of contracts.
-
provide coverage for colleagues during vacation/illness as per TL requirements
-
acts as a point of contact for internal or external issues or disputes for the team.
-
participate in regular team meetings helping to ensure that any operational issues (internal and external) are addressed, resolved, or otherwise escalated to TL.
-
maintain a positive work environment within the team.
-
serve as a role model/mentor for their team and other departments.
Key Responsibilities
New Business Implementation
-
Assess risk (technical, contractual, and operational) in non-standard contracts, Implementation of new regions and/or long-term tenders.
-
Review and coordinate the implementation of resources, providing advice to TL
Learning & Development
-
Prepare, and present training and development materials, teaching others, and facilitating learning.
-
Help assess and recommend training needs for individuals in coordination with the Team Leader or RoM, facilitating new starter training.
-
Cross-train (teaching and learning) across different operations roles and desks.
-
Assist in the training and development of Apprentices and/ or Graduates.
Recruitment
-
Act as first (and where required, second) round interviewer for apprentice and graduate schemes.
-
Where practical/ possible, interview and provide feedback on candidates/employees who are anticipated to join the team
Objectives, Evaluation & Remuneration

Participate in self-performance review with the Team leader or RoM bi-annually; evaluate and provide written feedback on self-performance to Team Leader or RoM.

Listen carefully to Directives and feedback; understand how to leverage the same to improve individual and team performance.
Policy & Procedure

Maintain adherence to group and operations procedures and guidelines.

Escalate non-compliance issues, promptly.
-
Proactively identify and report absent business processes or procedures, including those that are not up to date and/or are not correctly mapped to existing and/or future system(s) (Nova, BlackStar, IMOS, EOS etc).

Participate in audits in line with requirements.

Respond to audit requests in a timely fashion and escalate failures proactively.

Drives business change where failings are identified / improvements implemented.
Direct & Indirect Tax, Customs & Excise
-
Works with immediate Team to ensure duty, taxation, compliance, customs importation and exportation, and excise taxes are being diligently monitored, reported, invoices etc, and where exceptions are identified escalated to Team Leader / RoM.
Cost & Project Management
-
Review Desk cost accruals in the system, ensuring proper costs have been booked against each trade and storage facility in line with Group Cost Management policy.

Aged Debts (cargo and non-cargo) to be managed in line with procedure.
3rd Party Engagement
-
Establish and/or maintain good working relationships with appropriate industry peers and third-party service providers, maximizing commercial value from 3rd party providers while managing all relevant invoices, and assuring correctness against Rate Agreements.
-
Ensure new relationships are cleared with TL / RoM before use.
Storage
-
Maintain an accurate and up-to-date account of storage positions, forward blends, and product movements/positions, review all accruals in the system, ensuring proper costs have been booked against each trade/strategy or storage facility.

Communicate and work closely with traders on forward inventory projections.
-
Reconcile month-end inventory at desk level, explaining/correcting any differences in a summary to TL, Middle / Risk, Trade Finance, Traders, and Global Storage Coordinator.
Contractual Risk Management
-
Train team to develop and interpret complex contracts and understand financial exposures between purchase and sales contracts and against any interacting charter parties. Fully able to demonstrate and train the team on obligations using incoterms, oil major GT&Cs.

Possess a strong understanding of incoterms, oil major GT&Cs as well as Sanctions and ABC risks for own activities.
-
Leverage and develop knowledge in the above areas to ensure the contract process runs efficiently and smoothly, protecting the Group from contractual risk.

Review Contract drafts received from third parties OR generated by Gunvor's Contracts department, vs Trade Ticket. Discrepancies are to be highlighted to the Contracts team within 1 working day of receipt.

Train team to understand the legal framework supporting oil cargo contracts, shipping contracts, and Bills of Lading. Trains Team how to proactively identify documentary requirements, including for customs purposes.
Systems
-
Follow the System Management Policy via the use of a suitable combination of mechanisms (live dashboards, periodic reporting, desk audits etc).

Escalate IT improvement suggestions in writing to TL.
-
Examples may include any system-based tasks which are duplicated and can be automated or otherwise rationalized, to make processes more efficient.
-
Where requested, participate in BlackStar Development and Testing. Proactively report issues that pose a challenge to your Desk or Operations.
-
Minimize system exceptions, and mitigate pricing and other risks.
-
Monitor, review, and control various operational reports to ensure efficient handling of administrative tasks; documentation filed, claims are made, including voyage/storage losses etc.
Aged Debtors / Creditors
-
Weekly, reviews of aged debt position(s), liaising with Trading, Settlements, and Demurrage Teams to push for the fastest receipt of monies from third parties.
Other Operational
-
Optimizes commercial operation of vessels through an understanding of shipping economics, charter parties, vessel and port technical knowledge

Assist with training for team members to become competent at on-board blending, commingling, and activation.
Regulatory
-
Assist in the monitoring of activities in new markets, and new trade patterns and identify areas of business, that may require compliance review, escalating same promptly and competently.

Identify any non-compliance with Gunvor Group's Processes, Procedures, and Compliance policy. Escalates issues to TL considering the scale of exposure when escalating same.
HSEC
-
Ensures Desk adopts and implements HSEC policies down to grassroots levels of the business.
Issue Management, Reporting & Resolution
-
Concise, clear, and prompt escalation of Operational issues to Team Leader & RoM / CoM.

Ensure management has full awareness of all critical matters in a timely fashion.

Reports summary of all Ops Issues, in a written, weekly overview.
-
Issues are to be recorded within max 1 working day of identification.

About you

Experienced team player, capable of coordinating efforts with others through communications, capable of negotiations, able to address priority needs and meet the dynamic needs of the desk. Flexible, driven, proven initiative, and capable of creative problem-solving.

Knowledgeable of multiple commodities, components and grade specifications, bulk product storage, product blending, inspection procedures, laboratory precision, and product regulatory compliance.
-
Knowledgeable of cargo shipment procedures, policies and industry standards, shipment regulations, truck, rail, pipeline, and maritime technical terminology, as well as relevant transport laws and the impact on oil movement operations.
-
Experienced in vessel cargo operations interacting with ports/terminals, agents, cargo inspectors, canal transits, bunkering, vetting, chartering, ship shore compatibility, blending on board, circulation, heating, internal transfers, pipelines, and international legal restrictions.

Experienced at optimizing trader strategies by utilizing knowledge of product movement and relationships with external parties, while accounting for the dynamics of delivery and supply, and resolving and communicating any transport issues that arise with traders.

Proficiency in English and Spanish is required, while proficiency in Italian is desirable.
