Task:

  • Administrative Support:
  • Prepare and distribute meeting agendas, minutes, and other relevant documents.
  • Handle travel arrangements, including booking flights, accommodations, and transportation.
  • Assist with expense reporting and reimbursement processes.
  • Communication and Coordination:
  • Serve as a primary point of contact for internal and external stakeholders.
  • Assist in drafting and proofreading correspondence, reports, and presentations.
  • Assist in the development of communication plans and materials.
  • Project Support:
  • Assist in project coordination, including tracking project timelines, deliverables, and milestones.
  • Collaborate with team members to gather and compile project-related information.
  • Support the preparation of project proposals, presentations, and reports.
  • Help maintain project documentation and ensure version control.
  • Event and Meeting Coordination:
  • Organize and coordinate team events, workshops, and conferences.
  • Arrange logistics, such as venue booking, catering, audiovisual equipment, and materials.
  • Assist in preparing meeting materials, presentations, and agendas.
  • Take meeting minutes and distribute them to relevant stakeholders.

Qualification:

  • Diploma or Certification in Office Management or Administrative Assistance
  • Proficient in using office software, including MS Office Suite (Teams, Word, Excel, PowerPoint, Outlook), SharePoint and Confluence
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in work.
  • Effective verbal and written communication skills.
  • Strong interpersonal skills and the ability to work well in a team environment.
  • Knowledge of project management tools (Jira) is desirable.
  • Fluent written and spoken French (C1), German (C1) and English (B2)
