General Office Management:

• Coordinate and manage office facilities, ensuring a safe and comfortable work environment.

• Handle any local troubleshooting, maintenance issues, and general office needs.

• Organize office functions, team-building events, and initiatives to improve employee engagement.

• Monitor office expenses and budget, ensuring cost-efficiency and adherence to financial plans.

Administration:

• Manage and oversee the general office operations, ensuring smooth and efficient day-to-day activities.

• Maintain office supplies, equipment, and systems, ensuring they are fully functional.

• Handle correspondence, emails, and phone calls, ensuring timely responses and follow-ups.

• Organize and file documents, records, and other important company materials.

Coordination of Local Activities:

• Plan and coordinate all local office-related activities, including meetings, events, and travel arrangements.

• Organize and oversee travel logistics, including booking flights, accommodations, and transportation.

• Ensure smooth coordination of activities among team members and external vendors.

• Provide back-office support to various departments and teams as needed.

Profil

• First experience as an Office Manager, Administrator, or similar role, ideally in a multinational or cross-functional environment

• Excellent organizational skills with the ability to manage multiple tasks simultaneously

• Proactive mindset with the ability to develop and improve administrative processes

• Strong interpersonal and communication skills, with the ability to interact across all levels of an organization

• Ability to work effectively in a fast-paced, international team environment

• Strong problem-solving skills and a solutions-oriented approach to challenges

• Fluency in (Swiss) German and English (both written and spoken) is required

• Eagerness to create, innovate, and drive positive change in the workplace

• Open and flexible mindset with a willingness to take initiative

• A desire to contribute to a collaborative international environment and grow with the company
