AmaWaterways is seeking a dedicated, organized, and resourceful Administrative Assistant to provide comprehensive support to the Director of Cruise Managers. This is a great opportunity for candidates seeking to get a start in the tourism industry. The ideal candidate will possess exceptional organizational and multitasking skills, the ability to work independently with minimal supervision, and a proactive approach to problem-solving. Fluency in English and proficiency in Microsoft Word and Excel are essential, as are flexibility, the ability to travel, and a valid driver’s license.

Key Responsibilities

Administrative Support
• Manage calendars, schedule meetings, and coordinate appointments
• Prepare, proofread, and edit correspondence, reports, and presentations
• Maintain organized files and records, both physical and digital
 
Various Coordination
• Assist with logistics for Cruise Manager events and training sessions, including venue coordination
 
Communication and Coordination
• Serve as a point of contact for internal teams, Cruise Managers, and external partners
• Draft and distribute announcements, memos, and updates as needed
• Liaise with other departments to ensure seamless operations and communication
 
Event Support
• Assist in planning and organizing Cruise Manager meetings, conferences, and training sessions
• Coordinate materials, supplies, and logistics for events, including on-site support when needed
 
Data Management and Reporting
• Maintain and update databases and spreadsheets
• Prepare reports and summaries using Microsoft Excel and other tools as required
 
Driving and Travel
• Drive as needed to support the Director’s travel or event-related requirements or to visit ships
• On occasion, Travel domestically and internationally, often on short notice, to support business needs.


Qualifications

Language: Fluent in English (written and spoken)
• Technical Skills: Proficient in Microsoft Word, Excel, and other Microsoft Office applications
• Organization: Highly organized with strong attention to detail and time management skills
• Independence : Self-motivated and able to work efficiently without direct supervision
A daptability : Comfortable handling a dynamic workload and shifting priorities
• Travel : Willing and able to travel domestically and internationally as needed
• Driving: Possess a valid driver’s license and confidence driving in various conditions
• Personality: Proactive, resourceful, and a strong communicator with a positive attitude


Preferred Qualifications

• Experience in the travel or cruise industry
• Familiarity with additional languages (advantageous but not required)
