What you'll do

In this role, the successful candidate will be responsible for supporting our Global Operations Leadership team. Your attention to detail and focus on tasks will help you to successfully manage the logistics associated with team meetings, processing expense reports, coordination of travel and ensuring events and activities run smoothly. You will be an integral asset in local activities and space planning. This is a dynamic, team-oriented environment, which requires a passionate individual with considerable initiative, collaboration skills, and discernment. The day-to-day

  • Perform general administrative tasks, including calendar management (as needed for team members), correspondence, editing presentations, sending communications and setting up conference calls and web based meetings.
  • Coordinate complex on-site and off-site virtual and in-person meetings, including scheduling, catering, reservation planning, etc.
  • Manage travel, submit expense reports, and order supplies.
  • Prioritize multiple calendars at all organizational levels across global time zones.
  • Support Executive Assistant with meeting scheduling and events planning as well as supporting the Senior Executive when he is in the US and cover for his EA when she’s on leave.
  • Coordinate and implement customer and employee events, including but not limited to lunch meetings, happy hours and holiday parties.
  • Act as primary Facilities, Security and Safety representative onsite and liaison with corresponding department to ensure that all sites needs, minor moves, and/or customer requests are addressed in a timely manner.
  • On as-needed basis, escort visitors and/or contractors.
  • Provide a professional interface via email, virtual meeting and in person.

What you'll need

  • 5+ years of administration experience with increasing responsibilities.
  • Excellent verbal and written communication skills.
  • Ability to prioritize across multiple teams, supporting multiple leaders and functional areas.
  • Experience working with sensitive information that requires a high level of discretion.
  • Must have outstanding team and customer service skills with the ability to collaborate with personnel from various departments and cultures at all levels within the organization.
  • Must have global awareness and implications for travel (safety, health, geopolitical, etc.), expense reports (currency exchange, etc.), coordinating complex global travel.
  • Familiar with Zoom, MS Teams, WebEx, Oracle, Slack, SharePoint, Concur.
  • Proficient in MS Outlook, Excel, PowerPoint and Word.
  • Associates Degree or Bachelor's degree preferred.

Salary range

$30.77 - $43.75 / hourly.

For specific work locations within San Jose, the San Francisco Bay area and New York City metropolitan area, the base pay range for this role is $37.98 - $51.44/ hourly
