Position Summary

Responsible of the Maintenance projects coordination and Customers support, Project manager will be customer’s single point of contact during maintenance inputs. In a highly dynamic environment, he will be managing maintenance projects bullet points and coordination between technical, financial, quality and logistics actors. His main duty will be to ensure that his projects will be executed in an efficient and timely manner with a strong focus on financial results.

Main Responsibilities

Coordinate Scheduled Maintenance or Drop-In / AOG inputs scheduling:

  • Receive customer’s drop-in requests or signed quotations from Sales team as applicable.
  • Ensure staff / hangar availability and set ground time in coordination with Director of Maintenance.
  • Ensure readiness and availability of required documents (PO, Signed quotation, AMP…) as applicable.
  • Modify inputs date in coordination with Director of Maintenance if required by customer.

Coordinate maintenance projects preparation:

  • Supervise work package printing in coordination with Preparation team.
  • Supervise orders and readiness of required parts before the beginning of the projects in coordination with Preparation and Purchasing teams.
  • Evaluate and coordinate actions for any specific requirement (i.e. modification package, special request from customer…).
  • Evaluate risk and implement mitigation measures as applicable.

Organize and attend to incoming meetings with customers and aircraft supervisors.

Support aircraft supervisors/leaders during maintenance projects:

  • Assess labor and parts needs for defects raised during maintenance in coordination with aircraft supervisors.
  • Coordinate Engineering or technical support with OEM’s as required.
  • Schedule and coordinate subcontractors as required.
  • Coordinate parts orders in coordination with purchasing team.
  • Liaise with customer to ensure defects rectification approval is received on time.
  • Rescheduling of maintenance inputs as required by new defects rectification in coordination with Director of Maintenance.
  • Issue release documents at the end of maintenance in coordination with aircraft supervisors.

Provide customer support during maintenance projects:

  • Provide daily maintenance status including last progress and accurate costs.
  • Organize and coordinate customer visit on aircraft during maintenance projects.
  • Support customer’s requests during the projects.
  • Rescheduling of maintenance inputs as required by new defects rectification in coordination with Director of Maintenance.
  • Manage any potential dispute (technical, financial…).

Coordinate maintenance projects billing:

  • Create accurate quotations during the maintenance projects taking into an account labor, parts, subcontractors, engineering, freight… fees.
  • Ensure approval of the costs from customer during maintenance projects, and get last revision of maintenance status signed before departure.
  • Ensure a proper allocation of the costs to different parties involved in a maintenance projects (i.e. Customer, OEM, Maintenance contract coverage…)
  • Coordinate issuance and payments of Down Payments to cover all the costs before aircraft release.
  • Approve / take actions for “Financial Aircraft Release” before to release aircraft.
  • Analyze and approve/ take actions projects margin sheet before final invoice issuance.
  • Coordinate issuance and payments of final invoices.
  • Support billing for any dispute related to invoices.

Ensure accuracy and correctness of the release documents and work package, provide them and ensure acceptance by customer.

Perform maintenance projects cleanup after release to ensure that unused parts are returned to stock / OEM.

Coordinate projects scanning and shipment to customer with technical assistance.

Qualification Experience

  • Several years’ experience in technical administration
  • Willingness to adapt and react to quickly changing operational environment.
  • Strong technical knowledge in aviation (knowledge of Gulfstream, Bombardier is an advantage).
  • Capacity to adapt to a challenging and fast-moving environment, with changing priorities and a heavy workload.
  • At least 3 year experience in a similar position.
  • Excellent interpersonal and communication skills.
  • Ability to work on several projects simultaneously and to set priorities / taking initiatives when needed.
  • Excellent team spirit with ability to work independently.
  • Computer literate (MS Office, SAP, CMP, CAMP an advantage).
  • Fluent in English (French is an asset).

Education Requirement

Minimum Bachelor degree or equivalent Higher Education
