CONTEXT & MISSION:
We are looking for a highly motivated Human Resources Administration Specialist 80-100% (7-month fixed-term contract) to join the local HR team !

You will act as the first point of contact for HR-related queries from employees and external partners.
You will be responsible for on-boarding, off-boarding activities, job changes and benefits administration for employees based in World HQ. You will handle contract administration of new hires (permanent, fixed-term contract employees), internal transfers and extensions of fixed-term contracts. You will ensure efficient onboarding process of new hires and off-boarding process of voluntary leavers.
In addition, you will also manage the time and holiday recording systems as per the legislation and Group policies.

The position is based in Plan-les-Ouates (near Geneva) and reports to the HR Director HQ.

MAIN RESPONSIBILITIES:
Manage the employee full life-cycle :

  • Preparing all HR documents (contracts, addendum, letters, etc.) and keep the new hire guides up-to-date;
  • Communicating with employees, line mangers, HR partners and keep track of all required documentation as per the legislation and Group policies (on-boarding checklists, entry forms, maternity leave, sickness and accidents forms, family allowance, exit checklists, work permits, reference letters, etc.);
  • Handling data entries in HR systems (personal, position related data, compensation, benefits, etc.);
  • Welcoming new employees and co-animate the welcome-sessions;
  • Answering HR related questions with internal and external partners (social insurance partner, Swiss legal entities) and ensuring legal compliance;
  • Maintaining and updating working hours and absences in our systems;
  • Checking parking allowance and invoicing with the receptionist;
  • Company car and public transportation follow up;
  • Participating in various HR projects when requested.

HOW YOU CAN FIT:

  • Bachelor's Degree in Human Resources, Business or related field of study;
  • 3+ years of experience in a similar role;
  • Fluent in French and English;
  • Excellent understanding of employee full life-cycle processes with strong knowledge of Swiss labor regulations;
  • Good knowledge of social insurances;
  • Solid experience in treating confidential information with appropriate discretion;
  • Rigorous with exceptional attention to detail;
  • Strong team player with excellent interpersonal & communication skills;
  • Organized and proactive with the ability to multitask and prioritize;
  • Curious with appetite for challenges;
  • At ease in a changing and international fast-paced environment.
