Job description:

On the behalf of one of our clients based in pharmaceutical industry in Basel, we are currently looking for a Secretarial/Administrative assistant to support the team in various projects.

  • Administrative Support:

Meeting Coordination: Schedule meetings, prepare agendas, take minutes, and distribute them.

Calendar Management: Manage calendars for project managers and team members.

Document Organization: Maintain and organize project files and documents.

 

  • Coordination and Communication:

Travel and Events: Organize internal and external events, workshops, and meetings (local and international), including travel arrangements.

Communication Liaison: Serve as a link between the project team, clients, and stakeholders.

Team Support: Collaborate with other admin staff to provide comprehensive department support and ensure smooth communication across teams.

 

  • Documentation and Reporting:

Progress Tracking: Monitor project progress and ensure documentation is up to date.

Data Compilation: Compile data for status updates, reports, and presentations for stakeholders.

Report Preparation: Assist in preparing and updating project plans, reports, and presentations.

 

  • Financial and Resource Management Support:

Expense Management: Process and track expense reports and invoices, ensuring compliance with company policies.

Commitment Management: Manage requisitions, purchase orders, invoices, and other financial documents.

Financial Tracking: Support budgeting and tracking project expenses.

 

Requirements:

  • You have at least 3 years of experience in administration
  • You are fluent in English AND in German
  • Excellent communication skills, you are organized with high analytical skills.
  • Great time management and ability to delivery accurate work.
  • Ability to handle multiple tasks at the same time.
  • Advanced proficiency in MS Office Suite (Outlook, Word, PowerPoint, Excel) and Management software such as Outlook, Word, PowerPoint, MS Teams)
