Why are we hiring?
The Forum of Young Global Leaders (YGL) is a dynamic community of exceptional leaders under the age of 40 who are driving positive change across sectors and geographies. The YGL Foundation cultivates a trusted space for these leaders to deepen their impact and engage in values-based leadership.
We are looking to hire a Specialist to join the YGL team to support operational and event coordination needs. This role is essential to ensure the seamless delivery of our programmes and community engagement, particularly as we prepare for the Annual YGL Summit and other key gatherings. The position requires a detail-oriented and proactive individual with strong administrative capabilities, event execution experience, and a collaborative mindset aligned with our
mission.
Key Responsibilities

Participant communications and management:
-
Prepare information materials to participants, such as FAQ documents

Executes SFMC email campaigns (pertaining to event logistics) in the lead up to the Summit, to ensure participants receive timely information.

Supports the team with participant management as needed, including maintaining the participant management tracker

Financial assistance and support.

Oversee the financial assistance process, including liaising with partner agencies and ensuring accurate record-keeping.

Ensure that all invoices are processed and paid in a timely manner by coordinating with relevant stakeholders and tracking outstanding payments.

Operational logistics:

Support operational logistics and maintain accurate databases, ensuring smooth administrative processes across YGL activities.

Provide support with day-to-day administrative tasks and coordination efforts.

Support the planning and execution of events.

Maintain and update project tracking tools and CRM systems, while ensuring data integrity.

Requirements
-
Bachelor’s degree or equivalent professional experience.
-
2–4 years of professional experience in operations, event coordination, programme support, or a related field.

Embody and promote the YGL Foundation’s values of generosity, authenticity, respect, and impact.

Proven organizational and administrative skills with strong attention to detail.

Experience using Microsoft Office Suite and CRM or project management tools.

Excellent oral and written communication skills in English (fluency required).

Knowledge of an additional language is an asset.

High level of discretion and ability to handle confidential information.

Proactive, adaptable, and solution-oriented mindset.

Experience working in fast-paced, international or mission-driven environments is a plus.
