Mailroom Specialist
About the Role:
As a CBRE Mail Services Specialist, you will assist with providing administrative support to a large team or department.
This job is part of the Office Operations function. They are responsible for providing office support to a client, business function, or individual contributor.
Your main tasks:
- Ensure that all packages received and delivered arrive the same day or advise the consignee of next-day arrival.
- Bring mail, packages, copy products, and stationery to assigned groups or locations as per the daily schedule.
- Ensure all shipped packages are protected against damage.
- Apply appropriate postage amounts and required identification to outgoing mail and packages.
- Stock copy rooms and provide first communication for copier fleet production.
- Check daily and replenish, if necessary, all mail and postage supplies.
- Answer common inquiries or complaints from clients, co-workers, and/or supervisors and effectively present information to an internal group.
- Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
- Impact through clearly defined duties, methods, and tasks are described in detail.
- Deliver own output by following defined procedures and processes under close supervision and guidance.
- Assist concierge in general clerical duties. This includes tracking packages, posting mail, arranging messenger services, and providing notary services.
- Schedule and coordinate on-site meetings. This includes reserving multiple conference rooms, ordering equipment, and coordinating catering needs.
- Perform administrative duties specific to the department such as conducting research, updating databases, and preparing collateral materials for mass mailings.
- Receive and direct incoming calls and visitors to appropriate personnel.
- Oversee opening, sorting, prioritizing, and distributing inbound mail.
- Coordinate services for outbound mail.
- Understand work routines and standards and apply skills and knowledge in a range of processes, procedures, and systems.
- Draft reports and correspondence; Answer common inquiries or complaints from clients, co-workers, and/or supervisors.
- Recognize and solve typical and atypical problems that can occur in own work area without supervisory approval.
- Evaluate and select solutions from established options.
- Impact team through the quality of the services or information provided.
- Follow standardized procedures and practices and receive regular but moderate supervision and guidance.
Your profile:
- High School Diploma or GED with 2-3 years of job-related experience.
- An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
- Ability to explain detailed and complicated information within the team in a clear and concise manner.
- Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
- Strong organizational skills with a robust inquisitive mindset.
- General math skills. Ability to calculate advanced figures such as percentages, discounts, and markups
- Excellent communication skills to exchange straightforward and complex information.
- Ability to follow basic work routines and standards in the application of work
- Intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
- Fluent German and English.
