- Überwachung der Büroabläufe, Sauberkeit und Servicequalität.
- Koordination von Veranstaltungen und Aktivitäten im Haus.
Fähigkeiten
- Erfahrung im Workspace- oder Hospitality-Management erforderlich.
- Ausgezeichnete Kommunikations- und Organisationsfähigkeiten.
- Fließend in Englisch und Deutsch, kreative Problemlösungsfähigkeiten.

We are looking for a highly organized and proactive Workspace Manager & Receptionist to oversee all office-related operations, ensuring a welcoming and efficient workplace. This role involves supervising office maintenance, catering, reception, and services provided by vendors, and assisting in in-house activities (such as workshops and events) involving both team members and external partners. The ideal candidate has a creative mindset, great interpersonal & communication skills, proficiency in both German and English languages, excellent organizational skills, a service-oriented mindset, and the ability to work flexible hours, including occasional early mornings, evenings, or weekends. We want to create magical experiences for our employees and everyone who enters our space. A successful candidate is really a people person who proactively creates delight.
Key Responsibilities:
Reception, Office Management & Maintenance
- Serve as the first point of contact for visitors, ensuring a warm and professional reception/front desk.
- Oversee all office operations to ensure a well-maintained and efficient working environment.
- Supervise cleaning and catering teams, ensuring high standards of cleanliness and service.
- Manage & order office supplies, furniture, and equipment, ensuring a fully stocked and aesthetically pleasing workspace.
- Coordinate with external service providers & landlord for maintenance and repairs as needed.
- First point of contact for employees’ requests related to the office, communicating directly with them on Slack.
- Maintain security protocols by managing guest sign-ins and badge distribution.
In-House Activities
- Coordinate catering services, ensuring a positive and seamless F&B experience for employees and guests.
- Assist with in-house workshops and events, seasonal celebrations, and team-building activities.
- Propose creative ideas to enhance the workspace experience, such as themed treats, wellness initiatives, and interactive office enhancements.
Flexibility & Additional Responsibilities
- Be available to support early morning, evening, or weekend activities
- Continuously seek opportunities to enhance workspace culture and strengthen team engagement. Collaborate with internal teams to ensure workspace-related needs are met.
Qualifications & Skills:
- Proven experience in professional workspace or hospitality management
- Strong service-oriented mindset.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Creative problem-solving skills and a proactive attitude.
- Fluent in English and German (Swiss German) preferred.
- Proficiency with G-Suite, Slack, Zoom, and other commonly used tools.
- Ability to work flexible hours when required.
