Are you looking for a fast-paced administrative role that supports senior leadership in a global environment? If so, this Executive Administrative Assistant (m/f/d) role could be an exciting opportunity to explore. We are looking for a highly motivated and flexible professional to provide executive administrative and operational support (including key projects) to the Senior Vice President, Head of Global Medical Affairs, Oncology reporting directly to that person.
SVP, Head of Global Medical Affairs, Oncology is a key senior business leadership role, a key member of GSK’s Chief Patient Officer (CPO) Leadership Team and reports into the CPO. The leader will have full responsibility for the global medical strategy of the Oncology portfolio consisting of pre-clinical and pre-launch R&D assets, late-stage assets and established products, while also providing leadership on prospective business development opportunities. The role partners with the SVP, Head of R&D, Oncology and SVP, Head of GPS, Oncology as part of the leadership of the Product Area Leadership Team (PALT).

Key responsibilities include the following:
- Manage complex and detailed calendar as well as managing comprehensive international travel arrangements and complex prominent events of SVP, Head of Global Medical Affairs, Oncology.
- Monitor manager’s inbox and deal with incoming and outgoing correspondence in a proactive and timely manner, as required.
- Manage confidential/sensitive information in an appropriate manner where a high level of discretion is required.
- Plan and arrange conference calls, meetings, townhalls and events, ensuring appropriate technical arrangements are in place and all necessary information distributed to appropriate parties well in advance.
- Coordinate logistics (rooms, catering, A/V, invites, pre-reads) for various internal and external team meetings, including training meetings and workshops
- Expense management for SVP, Head of Global Medical Affairs, Oncology. Processing invoices, purchase orders and expense claims, ensuring all policies are followed and items are processed within provided guidelines.
- Onboarding of senior leaders in GMA Oncology LT.
- Supports administrative activities of designated projects. Take meeting minutes on an as need basis, manage agendas and associated SharePoint team sites.
- Liaise with Administrative Assistants and other GSK Leaders and with external organizations.
- Handle internal and external communications to determine the level of priority and action accordingly. Escalate necessary queries as appropriate.
- General administration and ad-hoc administrative support to other members of Oncology GMA LT.
- Work with relevant internal departments and external organizations to research content to prepare correspondence and presentations.

We are looking for professionals with these required skills to achieve our goals:
- Experience supporting C-Suite and/or Vice President level leaders.
- Minimum High School diploma.
- Proficient level oral and written communication skills in English language. Knowledge and proficiency in German would be a plus.
- IT skills to include Microsoft Outlook, PowerPoint, Word and Excel, use of inter- and intranet, teleconferencing, MS Teams and associated technology.

- Discretion and confidence to work with people at all levels, internal and external to the company with flexibility in working style.
- Regular contact with individuals at high levels within and outside of the business sector with the demonstrated ability to pass on instructions, advice, and obtain decisions or agreements in potentially sensitive situations.
- Possess knowledge of department roles, management structure and inter functional relationships with other departments and related organizations.
- Strong collaboration and relationship building skills. Team player with the ability to gain the confidence of and cooperation of peers.
- Budget and cost-consciousness.
- Professional experience within a medium to large size company, preferably in a matrixed and/or international setting.
- Flexibility to attend occasional business trips.
