We are looking for a Finance and General Administration Specialist for our Madrid office to support our team and enhance the efficiency of our financial and administrative operations.
This is a key role in ensuring the smooth execution of financial processes, sales administration, and general office management. The ideal candidate will bring previous experience in similar roles within multinational environments, excellent attention to detail, and the ability to manage multiple tasks effectively.
This position is part-time, requiring 5 hours per day.
Main Responsibilities:
Sales Administration:
- Prepare and issue invoices to customers with precision and ensure timely delivery
- Follow up on invoices and ensure collection in a timely manner
Administration/Finance:
- Assist in calculating and monitoring the company’s cash flow
- Collaborate with the finance team in Geneva for electronic payments, bank reconciliation, and transfers
- Track accounts receivable/payable, vendor payments, and intercompany invoicing
- Handle payroll and supplier payments through the banking system
- Oversee employee expense claims and credit card reconciliation
- Support monthly closing activities, including inventory reconciliation and bank payments updates
Internal Control System (ICS):
- Ensure all financial controls are properly implemented and followed
- Prepare and present regular financial reports to management
General Administration:
- Provide administrative support across various site activities
- Ensure that all contracts and administrative documents are managed according to company policies
Compliance and Audit:
- Ensure internal policy compliance and financial regulations
- Support internal and external audits and documentation preparation
- Identify and mitigate financial and administrative risks
- Bachelor’s degree in Accounting, Finance, or a related field
- Fluent in English and Spanish; knowledge of German or French is an advantage
- 2-3 years of experience in similar roles, preferably in a multinational environment
- Proficient in the use of office automation and accounting software tools; experience with ERP systems is a plus
- Excellent communication and organizational skills
- Ability to work independently and as part of a team
- Attention to detail and strong analytical skills
- Ability to handle multiple tasks and priorities in a dynamic environment
