Reporting directly to the Sr. Vice President, International, the Sr. Associate, Administrative Assistant - International provides secretarial /administrative support in a one-on-one working relationship. Regular exposure to confidential data requiring discretion, tact, maturity, diplomacy and good judgment.
In this role, a typical day will include:
- Executive Support

Completes a broad variety of administrative tasks, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.

Plans, coordinates, and ensures schedules are followed and respected. Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to time and office.

Prioritizes and follows up on incoming issues and concerns, including those of a sensitive or confidential nature. Determines the appropriate course of action, referral, or response.

Provides a bridge for smooth communication between the office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.

Works closely and effectively with team members to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the team updated.

Provides leadership to build relationships crucial to the success of the organization and manages some special projects which may have organizational impact.

Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
- Board Support and Liaison

Assists with travel arrangements, lodging, and meal planning as needed.

Adheres to compliance with applicable rules and regulations set by laws and organizational policies.
- Senior Management Liaison

Participates to the various Executive Team meetings: scheduling meetings and attending all meetings, minutes, presentations, etc.

Facilitates cross-divisional coordination of travel and outreach plans

WHAT YOU’LL BRING TO ALCON:
Education / Professional Experience:
-
Bachelor's degree advantageous
-
Strong work tenure: five to 10 years of experience supporting Executives
-
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
Languages:
-
Very Good written and spoken English
-
Knowledge of other languages (e.g. French, German, Italian) advantageous
