The Single Family Office is seeking an experienced, highly organized, and proactive branch manager in Lugano to oversee operational and administrative tasks, as well as to support the beneficiary and their family members. The position involves a wide range of responsibilities requiring a high level of accountability, organizational skills, adaptability, and the ability to work in a multifunctional/multitasking environment.
Responsibilities:
Administrative Process Management:
- Supervising the condition and operation of real estate (repairs, remodeling, reconstruction, coordination with contractors).
- Coordinating contracts related to real estate, insurance, taxes, and regulatory aspects.
- Organizing and managing documentation workflows, liaising with postal and courier services.
- Monitoring and approving invoices, overseeing financial obligations.
Migration and Legal Support:
- Preparing and renewing documents (visas, residency permits, passports).
- Communicating with notaries, consulates, lawyers, and government authorities.
- Assisting with tax-related matters.
Family Organizational Support:
- Coordinating medical checkups, consultations, and treatment for family members.
- Supporting banking operations, managing accounts, and facilitating payments.
- Organizing travel, including booking transportation, accommodations, and coordinating transfers.
Household Staff Management:
- Recruiting and supervising household staff (cleaners, gardeners, etc.).
- Creating work schedules and monitoring task quality.
Asset and Vehicle Management:
- Overseeing insurance and documentation for vehicles.
- Coordinating the purchase/sale of cars, boats, or other vehicles.
Communication and Reporting:
- Regularly providing reports to the beneficiary on task completion and project status.
- Maintaining effective communication with family members, advisors, and external partners.
- Resolving conflicts and handling disputes.
Candidate Requirements:
- Higher education.
- Relevant work experience, including in a Family Office or supporting UHNWI.
- Strong organizational skills and ability to work in a multitasking environment.
- Fluency in Russian, Italian, and English.
- Responsibility, punctuality, and the ability to solve tasks promptly.
- Proficiency in computer use.
