Job Description

We are seeking a highly organized and dynamic individual to join our team as an Office Manager cum Executive Assistant. This hybrid role is crucial to the smooth operation pertaining to our office space and the efficient management of the CEO's activities. The ideal candidate will be a proactive problem-solver with exceptional communication skills and a keen attention to detail. This role comes with great power to build a productive and efficient workspace, as well as to oversee daily office operations. Simultaneously, you will provide high-level administrative support to the CEO, managing schedules, coordinating meetings, and handling confidential information with the utmost discretion. Responsibilities:

  • Responsible for all office facilities and maintenance matters, including acting as the main liaison with the building maintenance office as well as managing vendors and contractors.
  • Responsible for creating a positive office environment by organizing events, team building activities, offsite meetings, meals, and employee social and corporate responsibility activities.
  • Prepare presentations and reports for internal and external customers.
  • Welcome visitors and guide them to meeting rooms.
  • Responsible for business cards for all employees and onboarding of new employees.
  • Complete a broad variety of administrative tasks for the CEO of BW ESS.
  • Proactive calendar management, including scheduling meetings with internal and external stakeholders and booking meeting rooms.
  • Make travel arrangements, including the preparation of visa letters and detailed travel itineraries.
  • Process travel and expense claims.
  • Process purchase orders and invoices.
  • Some administration support to the executives' team e.g., booking travel, liaising with vendors, and processing purchase orders.
  • Other ad hoc administration duties as required.

Qualifications:

  • Have a minimum of 5 years' experience in an MNC environment as an Office Manager cum Executive Assistant.
  • Experience working in an international company.
  • Fluent in English as candidate will liaise with European stakeholders.
  • Proficient in Microsoft Office software (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media platforms such as LinkedIn.
  • Enjoy working in a fast-paced environment; ability to adapt quickly to changing demands.
  • Strong organisational skills and the ability to multitask.
  • Excellent verbal and written communication skills.
  • High attention to detail.
  • A strong team player, able to relate and work well with all levels in the organization.
  • A proactive mindset and strive to create a positive work environment for the Executives and their team to thrive in.
