You will join a dynamic office taking on an exciting role, where you will get plenty of opportunity to handle a large variety of challenging tasks. You will work as an Office Manager referring to our local CEO while also supporting other important tasks within Event Management and Human Resources.

Responsibilities

Management CEO Support

  • Handling of daily correspondence and maintaining deadlines

  • Preparation and review of internal documentation and presentations

  • Contact person for all sorts of requests involving the CEO or the Board of Management

  • Coordination of various topics around Sales, HR (such as implementation of the digital employee Onboarding flow for the Swiss entity in Workday), office management (such as events and all staff meetings)

  • Business trip arrangements for CEO, Board of Management and Board of Directors

  • Responsible for expense reimbursement for the CEO

  • Secretary to the BOM: planning and coordinating the monthly management meeting and taking minutes

Event Coordination

  • Plan, coordinate and execute client events and seminars according to requirements, target audience and objectives, including all related logistics and administrative tasks

  • Plan and maintain budget, invoicing and deadlines for events

  • Research and secure venues and source and negotiate quotes with vendors and suppliers

  • Planning and managing the calendar of events and updating the management

HR Coordination

  • Supporting the local Management Team in the hiring process (position management, coordination of interviews, alignment of internal approvals from HQ, setting up induction sessions and on-/offboarding of new employees, preparing reports and analysis)

  • Coordination of any HR topics with external HR Business Partner on HR administration and payroll

  • Responsible for ongoing alignment with HR Group activities and updating relevant documents

  • Preparing of management reports and analyses with regards to HR topics by using the people tool Workday

  • Maintaining Workday’s set-up according to Swiss labor regulations

Your profile

  • 5+ years of experience as assistant on C-level

  • Basic knowledge of Swiss labor regulations                 

  • Experienced in event management with a strong affinity for sales activities

  • Dependable, discrete, trustworthy and high integrity

  • Strong organizational skills that reflect ability to perform and prioritize tasks efficiently and with attention to detail

  • Comfortable working in a fast-paced environment, have the ability to interact with staff at all levels and work effectively in a team environment, representing and adhering to Saxo’s values and behaviours

  • Distinct team competence

  • Excellent communication skills

  • Fluent in German and English (French)
