Finance Executive - Account Payable

THE WORK

Invoice Processing (M&E only):

  • Receive and review invoices from operations (Accelo).
  • Verify the accuracy and completeness of invoices, ensuring they adhere to company policies and procedures before inputting the data into XERO.
  • Code and classify invoices based on expense categories and cost centers.

Payment Processing (M&E only):

  • Ensure that the client deposit is received before payment is made.
  • Prepare and process payment batches, including checks, electronic transfers, and ACH payments (vendor and staff claim).
  • Ensure that payments details are accurately entered in the bank/WU edge (new vendor creation).
  • Ensure that payments are made on time and in accordance with vendor terms and agreements.Cash handling, withdraw cash from bank if there is any staff advancement.
  • Ensure all expenses/costs keyed in XERO.
  • Ensure invoice data in the company's accounting software is accurate,
  • Maintain organized and up-to-date electronic and physical records of all invoices and related documentation.
  • Daily bank update on our records.
  • Prepare bank reconciliation monthly.
  • Liaise with Relationship Manager for banking matters.

Staff Claim Review and Verification (M&E Only):

  • Review and verify employee expense reports for accuracy, completeness, and compliance with company policies and guidelines.
  • Ensure that all supporting documentation, such as receipts and invoices, is attached and valid.

FOREX Management (M&E only):

  • Process payment for SGD (80%) and Forex (20%) transaction.
  • Liaise with CONVERA & Banks to book rate and transact for FOREX such as USD, VND, TWD, THB, PHP, MYR, MOP, KRW, JPY, INR, IDR, HKD, GBP, EUR, AUD & etc)
  • Answer Convera’s queries.

Client Invoice Processing (M&E only):

  • Receive and review sale invoices from operations (Accelo) and post to XERO.
  • Print a copy of the newly generated invoice in Xero to PDF and send back to operations.
  • Code and classify invoices based on revenue categories and cost centers.

Reporting:

  • Prepare procurement & Hotel procurement report for HQ

Tax:

  • Prepare and file various tax returns, such as GST.
  • Keep abreast of tax law changes and implement necessary adjustments.

Compliance and Documentation:

  • Ensure compliance with internal financial controls and external regulations.
  • Maintain and update documentation related to AP processes and bank reconciliation procedures.
  • Track outgoing payments for the company (M&E - Staff reimbursement & vendor payment)

Team Collaboration:

  • Collaborate with other departments, such as production and finance, to resolve issues and streamline processes.
  • Assist with month-end and year-end closing procedures as necessary.

Audit Support (Local & Group):

  • Assist local and group auditors during external audits by providing requested documentation and explanations of AP processes.

ICS (Internal Control):

  • Assist in providing the supporting document for ICS.

Full set account for affiliated company (MYOB)

  • Generate and send customer invoices, ensuring timely and accurate billing.
  • Process supplier invoices, verify accuracy, and initiate payment processing.
  • Reconcile vendor statements, resolve discrepancies, and manage vendor relationships.
  • Prepare project P&L.
  • Maintain and update the general ledger to accurately record all financial transactions.
  • Ensure that all ledger entries adhere to accounting principles and company policies.
  • Prepare and maintain accounts receivable & account payable aging reports.
  • Prepare monthly financial statements, including income statements & balance sheets.
  • Prepare and file various tax returns, such as GST.

  • This role requires dual reporting to the Assistant Director of Finance and Group Finance Director based in Europe.

THE GOOD TO HAVE

  • Diploma holders in accounting or equivalent. Fresh grads are welcome to apply.
  • Proficiency in using accounting software (e.g., xero, MYOB) and Microsoft Excel.
  • Previous experience in accounts payable plus.2 to 3 years of full set experience is an added advantage.
  • Strong attention to detail and accuracy in data entry.
  • Ability to work independently and meet deadlines.
