ERP Supply Support Manager – UniField

Context & Mission




Médecins Sans Frontières is an independent, international medical and humanitarian organization that provides care to people in need, people affected by natural or man-made disasters, and victims of armed conflict, without discrimination and without regard to race, religion, creed or political affiliation (MSF Charter).




Médecins sans Frontières (MSF) has developed its own ERP system named UniField to cover its Finance and Supply activities and processes in the field (operations in 60 countries).


UniField’s first deployments started in January 2015 and is now deployed on more than 400 locations and is used by more than 3800 active users.


UniField is a fully functional ERP relying on both:


  • Local autonomous installations allowing for offline use.
  • A central synchronisation server allowing for data exchange between installations whenever internet connection is available.



MSF has put in place a structure “UniField Intersection Application Management Team” commonly called the Core Team, to provide operations support and to ensure the maintenance and the evolution of the application for all the MSF sections using the ERP for their field of operations (currently 4 MSF sections)


Under the responsibility of the Head of ERP Support and Development, the ERP Supply Support Manager is in charge of providing support and evolution to UniField ERP tool for the whole supply business domain.




This position implicates the capacity to analyse, synthetise and model the requirements of a large IS project, to coordinate the needs of the 4 MSF operational centers (OC) at an organisational and functional level, to design and develop complex information systems, to develop an innovative vision and anticipate future needs.


This project is particularly important for the MSF movement: the 4 Operational Centers (Amsterdam, Brussels, Geneva and Paris) cooperate intersectionally in order to develop common IS tools to support their operations. These new generation tools will be designed to have a life expectancy of over 15 years.


The situation requires a particular engagement from the person in charge, given the complexity of the project, the expectancy of the various MSF Intersectional platforms and of the users (operations), the implications of this project for the administrative management of the operations of the whole MSF movement.


Furthermore, this position requires specific communications skills and a high commitment to represent the Support Team in the various OCs, at an MSF Intersectional level and with all stakeholders.




Responsibilities


UniField Supply Intersection Working Group Coordination


  • Lead, animate, advise and support the supply Intersection Working Group
  • Define the supply functional scope by identifying the requirements of the Operational Centers for the supply business area
  • Seek aligment of all OCs on requirements and prioritization of the tickets



Application development


  • Manage all Supply requirements and new functionalities to be developed in UniField
  • Transform requirements from supply Intersection Working Groups into functional and technical specifications to be sent to the development team



Application maintenance


  • Analyse, qualify and validate incidents reported
  • Propose code fixes to be developed by the development team.



Application Release Management


  • Manage all steps of the patch delivery cycle for the supply deliverables.
  • Coordinate, organise and perform the tests on corrections and improvements delivered by the development team
  • Define list of tickets for each patch release based on prioritization and development time



Maintain system documentation


  • Update and maintain Supply documentation in Wordpress
  • Write the Supply release notes for each patch release
  • As member of the Support Team, participate in the global project management process (follow-up, phasing, coordination of the stakeholders, representation, change management, quality management, risk management, definition and respect of deadlines…)



Your Profile


Education


  • Tertiary degree in Logistics or Supply Chain Management

OR


  • Tertiary degree (bachelor/master) in Economics or Computer science with strong working experience in Supply Chain



Experience


  • Minimum 5 years of relevant professional experience in Supply Chain positions
  • Experience in supporting post-deployment IS/IT solutions as Application Manager or Business Analyst
  • Experience in designing, developing and implementing IS solutions.
  • Experience in the roll-out of ERPs is an advantage.
  • Experience with several MSF Operational Centers or with other humanitarian organisations is an advantage.



Skills/ Technical competencies


  • Expertise in Supply Chain Management
  • Experience in one or more ERPs as super user and/or technical responsible
  • Definition and modelling of user requirements, processes and specifications
  • Functional design of supply / logistics information systems
  • Knowledge of MSF supply chain and field practices is an advantage.
  • Good overall comprehension of the IT/IS field is a plus (infrastructure, network, databases, etc…)



Languages


  • English (strong oral and written skills)
  • Fluent French a strong advantage

Terms of Employment


  • Full-time position (100%)
  • Open-ended contract
  • Working place: Position based in any MSF Operational Center office using UniField (Paris, Geneva, Brussels, Amsterdam)
  • Ideal start date: 1st October 2024
  • Salary: depending on the OC contracting and country of residence.
