ROLE DESCRIPTION
• Viking Cruises is currently seeking a Manager Ship Support to join our Logistics team for our Ocean and Expedition fleet. The Manager will be responsible for managing all day-to-day activities related to fulfilling the ships purchase requests. This position reports directly to the Senior Logistics Manager.
• The key focus of the role will be on ensuring that all ship requests are met on time and within policy and budget guidelines. The Manager’s role will be threefold: One, to monitor the operations and ensure that processes are executed by the ships as defined, including supporting in case of deviations and escalating to Onboard Operations when needed. Two, support the ships on all aspects of purchase orders; coordinate with suppliers, internal logistics & sourcing teams to arrange timely delivery to the ships. And three, ensure that all structural data in MXP is correct and that all processes are well established and defined with clear communication lines and escalation channels.
• In addition, the Manager will be in charge of periodic reporting related to day-to-day operations of purchasing activities.
• The position is based in Basel, Switzerland.
KEY RESPONSIBILITIES
• Be the single point of contact for allotted ships for all purchasing activities.
• Monitor PO values for food, beverage, consumables & durables and escalate to Ops when PO levels above approved par level.
• Support the ships in case of delayed deliveries, or emergency orders, including coordination with the suppliers & port agents to ensure the ships have all the supplies they need.
• Work closely with the shipboard team and suppliers to ensure that all products needed for the operation are on board at all times.
• Monitor price discrepancies between contract and invoice prices.
• Track and manage discrepancies and credit notes.
• Work closely with internal (procurement department) and external parties (suppliers) to ensure planning and deliveries are made in a timely manner.
• Manage and maintain the standard item list on Ocean (incl. structure, spec, descriptions, VAT, etc.).
• Ensure par levels are correctly set in MXP.
• Ensure that the loading templates are correctly setup across the fleet.
• Monitor and control POs to ensure standard process is followed by the ships.
• Manage Viking warehouse together with the Warehouse Manager.
• Issue monthly warehouse stock and consumption reports, incl. forecasts.
• Further develop processes and reports as related to the day-to-day operations of purchasing.
• Manage the ship support team on a day-to-day basis.
KEY QUALIFICATIONS
• Several years of working experience in coordinating logistics and procurement activities. Preferably in the cruise industry.
• Excellent communication, negotiation, and problem-solving skills.
• Ability to work independently and as part of a team.
• Strong attention to detail and ability to multitask in a fast-paced environment.
• A can-do mindset, with a strong focus on delivery a superior guest experience as well as a focus on costs and budgets.
• Flexibility and stress resistance, team player, commitment, positive personality, professional appearance.
• Analytical mindset with a strong knowledge of excel.
• Ability to travel both domestically and overseas.
EDUCATION
• Bachelor's degree in logistics, supply chain management, or a related field.
