Operations Assistant (m/f/d)
Background:
Roche Early Research and Development (pRED) Neuroscience and Rare Diseases (NRD), are pushing
boundaries of scientific understanding to achieve clinical advancements and solve some of the greatest challenges in neuroscience today - to preserve what makes us humans who we are.
The NRD Operations team is searching for an Operations Assistant to support pRED NRD teams with coordination
and execution of administrative tasks and projects, events and meeting management. We are looking for an
individual who enjoys to collaboratively work in a matrix environment and who is well organized in managing a variety of tasks at the same time to deliver results according to timelines. The ideal candidate acts with openness, honesty, flexibility and collaborative spirit in a task oriented manner; always looking for improvement of the work processes at hand.
Tasks & Responsibilities::
- Event & Meeting Management:
- Support the planning and execution of internal and external meetings requiring virtual, hybrid, onsite or
offsite set-ups including managing logistics like venue, catering etc. - Serve as point of contact for external guests to coordinate visits (e.g. scheduling, travel arrangements,
agenda, onsite logistics, process expense reports)

- Recruitment, Onboarding & Offboarding:
- Coordinate and organize candidate interview process (scheduling, travel, hosting during interviews,
candidate expenses) partnering with Talent Acquisition and Hiring Manager and panel members throughout the process - Manage administrative components and logistics of on-/offboarding (ensure new hires orientation, devices and technology is functional, etc.)

- General administrative support and services:
- Maintain document repositories and databases (contact lists, distribution lists, gSites etc.)
- Provide system and technical support
- Manage and coordinate calendars for team members for complex meetings
- Support team members with complex travel arrangements or conference group travels
Must Haves:
- Successfully completed apprenticeship
- 5+ years experience as an assistant or comparable role
- Affinity to digital tools
- Fluent spoken and written English
- Working style: team player, strong organizational skills, ability to work independently, attention to detail
- Outcome oriented: ability to prioritize, deliver results according to timelines
- Mindset: positive, “can-do”, continuous improvement, collaborative
- Communication style: open, transparent, clear
Nice to Have:
- Additional qualification as an Administrative assistant
- Proficiency in G Suite
