HR Shared Services Specialist (f/m/d)

Job Purpose

  • The role is part of the HR Shared Service team at our Headquarters in Basel.
  • The role will focus primarily on different administrational tasks, transactional HR-processes and service delivery to our employees, managers and other internal/external stakeholders
  • The role interfaces with other HR functions and can/may include project support

Main Tasks and Responsibilities

  • Leads and oversees end-to-end employee lifecycle management, from recruitment to exit.
  • Serves as the primary point of contact for HR-Services and Training inquiries, providing expert advice and support to HR Business Partners and the Join Team.
  • Delivers responsive HR services, including labor law compliance, international HR management (Visa/ Work Permit, Relocation), and alignment with current HR policies and practices.
  • Manages complex employee lifecycle events (e.g., Marriage, Birth, Years of Service) and organizational/employment contract changes.
  • Collaborates closely with Payroll, Time & Attendance, Corporate HR, and regional teams.
  • Generates authoritative reference letters.
  • Maintains electronic personnel files and critical master data in our core HR Systems (SAP SuccessFactors and SAP HCM).
  • Supports HR-Services related to local Learning & Development initiatives (e.g., maintaining the Learning Management System (LMS) for HR-owned training programs).
  • Facilitates monthly onboarding for new hires, including training coordination, delivery, and follow-up.
  • Oversees individual introduction plans (IIPs) and ensures compliance with mandatory trainings.
  • Participates in annual salary reviews, short-term incentive planning, and employee share participation programs.
  • Contributes to project-based HR initiatives.
  • Assists the team and direct manager with document creation (e.g., PowerPoint, other files).

Additional Tasks and responsibilities may include:

  • Supports the vocational trainer in coordinating apprentices and trainees across multiple departments to ensure seamless integration and development
  • Supports in recruitment efforts for apprentices moving forward, utilize marketing and event strategies
  • Support in operational health management initiatives that contribute to employee wellbeing and productivity.
  • Leads operational tasks related to the corporate graduate program.
  • Executes additional HR Shared Services tasks based on organizational priorities.

Profile:

Education

  • Commercial education with HR related further education (e.g. HR Administrator, HR Specialist/ “HR-Fachfrau/HR-Fachmann mit eidg. Fachausweis”) or higher degree in HR Management is a must.

Experience

  • Professional Experience:
  • Minimum of 4 years in a comparable function, such as HR Shared Services Specialist, HR Generalist or Junior HR Business Partner.
  • Experience in a customer-focused, multinational business environment, preferably with exposure to Shared Service operations.
  • Expertise:
  • Solid understanding of Swiss social security and tax regulations.
  • Proficiency in international HR management, including knowledge of Swiss labor law.
  • Familiarity with payroll processes is advantageous.
  • Project Experience:
  • Demonstrated success in managing and contributing to HR-related projects.
  • Systems Proficiency:
  • Skilled user of HR databases and systems, including SAP SuccessFactors and SAP HCM.
  • Software Skills:
  • Very good knowledge of MS Office 365 tools.
  • Language Proficiency:
  • Business fluent in English and German.
  • French language skills are an advantage.
